1. Introduction
RokWise ("we", "us", "our") provides cloud-based point-of-sale and business management software ("RokWise", "the Service") to businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to visitors of rokwise.co.ke and users of app.rokwise.co.ke.
2. Information We Collect
Account information. When you register, we collect your name, email address, phone number, and business details.
Business data you provide. Sales, inventory, purchase, customer, supplier, staff, and financial records that you or your team enter into RokWise to run your business. This data belongs to you — see Section 7 of our Terms of Service.
Payment information. Subscription payments are processed via M-Pesa through Safaricom's Daraja API. We receive transaction confirmations and reference numbers; we never receive or store your M-Pesa PIN or full mobile money credentials.
Sign-in information. If you sign in with Google, we receive your name, email address, and profile picture from Google, according to the permissions you grant.
Technical information. IP address, browser type, device information, and usage data, collected automatically to keep the Service secure and to improve performance.
Communications. Records of support requests made via email or WhatsApp.
3. How We Use Information
- To provide, maintain, and improve the Service
- To process subscription payments and communicate about your account
- To provide customer support
- To detect, prevent, and address technical issues, fraud, or abuse
- To comply with legal obligations
4. How Your Data Is Protected
RokWise is built on a multi-tenant architecture with row-level security: your business's data is technically isolated so it cannot be accessed by other businesses using RokWise, even though everyone shares the same underlying infrastructure. Data is encrypted in transit and at rest, and backed up regularly. Access to production data by RokWise staff is limited to what's necessary for support and maintenance.
5. Who We Share Information With
We do not sell your data. We share information only where necessary to operate the Service:
- Supabase — our database and authentication infrastructure provider
- Safaricom (Daraja API) — for M-Pesa payment processing
- Google — for Google Sign-In, where you choose to use it
- SMS gateway providers — if you use RokWise's Bulk SMS feature to message your own customers
We may also disclose information if required by law, or to protect the rights, property, or safety of RokWise, our users, or others.
6. Data Retention
We retain your business data for as long as your account is active. If your subscription lapses without renewal, your account is paused, not deleted — you can resume at any time by subscribing again. If you close your account permanently, we will delete or anonymize your data within a reasonable period, except where we're required to retain it by law.
7. Your Rights
Under Kenya's Data Protection Act, 2019, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data, subject to our legal retention obligations
- Object to certain processing of your data
- Request a copy of your data in a portable format

8. Cookies
Our website and app use only the cookies and local storage necessary for the Service to function, such as keeping you signed in. We do not use third-party advertising cookies.
9. Children's Privacy
RokWise is a business tool and is not directed at, or knowingly used by, children.
10. International Data Transfers
Some of our infrastructure providers may store or process data outside Kenya. Where this happens, we take reasonable steps to ensure your data continues to receive an appropriate level of protection.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We'll post the updated version here with a new effective date.
